Under the direction of an administrator or manager, processes and oversees receipts; maintains county treasury funds and appropriate transfers; processes invoices and accounts receivable collections; processes accounts payable, payroll disbursements, and tax payments; reconciles assigned accounts as required; provides assistance to a diverse population of students, faculty and staff regarding routine accounting transactions, functions, and inquiries.

Key Duties & Responsibilities

ESSENTIAL RESPONSIBILITIES

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices. Essential responsibilities are designated by *.

• Processes and oversees receipts; reviews reports and transactions; confirms transaction and deposit amounts and prepares payment vouchers, deposit slips and journal entries. *

• Reconciles deposit totals and prepares associated documents in accordance with District policies and procedures. *

• Maintains county treasury funds and appropriate transfers. *

• Prepares reports for reconciliation and provides for board meetings. *

• Ensures proper authorization of transfers, debits, and credits, and prepares related journal entries. *

• Processes invoices and accounts receivable collections. *

• Bills agencies for student accounts, including fire departments, grant agencies, high schools, and other public and private agencies, as directed. *

• Reconciles student accounts and class rosters; sends invoices to agencies. *

• Reconciles assigned accounts as required, including insurance, sales, financial aid, clearing, medical, loan, and bank accounts. *

• Generates, maintains, updates, and submits required documents as appropriate.*

• Ensures accuracy of financial data and reconciliations. *

• Monitors student account balances; responds to inquiries regarding payments, accounts payable, accounts receivable, and general processes of the department. *

• Communicates with personnel and outside agencies to exchange information and resolve issues or concerns. *

• Operates a variety of office equipment, including a calculator, copier, fax machine, computer, and assigned software. *

• Performs various clerical duties in support of assigned functions as required; prepares routine correspondence; duplicates and distributes materials. *

• Performs related duties that support the overall objective of the position.

Minimum Qualifications

EDUCATION AND EXPERIENCE:

• High School graduation or General Educational Development (GED) supplemented by college-level course work in accounting or related field; AND

• Five (5) years clerical accounting experience;

• Associate degree with coursework in accounting, finance, or related discipline; AND

• Three (3) years of experience performing routine accounting transactions;

• Any combination of education and experience which would provide the required qualifications for the position.

DESIRABLE QUALIFICATIONS:

• Associate degree with coursework in accounting, finance, or related field.

LICENSES AND OTHER REQUIREMENTS

• May be required to possess or demonstrate an ability to obtain a valid driver’s license, if driving is required as an essential responsibility of the position.

• May be required to travel for various off-site meetings, trainings, conferences, workshops, and/or events in support of the overall objective of the position.

• Modern office practices, procedures, methods, and techniques.

• Operation of a computer and assigned software programs and applications, computer hardware, and peripheral equipment.

• Effective communication skills, both verbally and in writing.

• Correct English usage, grammar, spelling, punctuation, and vocabulary.

• Interpersonal skills including tact, patience, and courtesy.

• Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).

Ability to:

• Independently perform the essential responsibilities of the position.

• Plan, coordinate, organize, and prioritize workload to meet schedules and timelines.

• Coordinate flow of communications and information as needed.

• Perform a variety of technical accounting duties in the review, evaluation, and adjustment of assigned accounts.

• Update and maintain accurate financial and statistical records.

• Prepare and evaluate comprehensive accounting reports and statements.

• Verify, balance, and adjust accounts.

• Review, process, evaluate and verify a variety of financial information.

• Identify, investigate, and resolve financial errors and discrepancies.

• Issue and distribute vendor and claim reimbursement payments.

• Monitor and audit revenue and expenditures.

• Assemble, organize, and prepare data for records and reports.

• Reconcile, balance and audit assigned accounts.

• Compare numbers and detect errors efficiently.

• Operate standard office equipment, including a computer and assigned software.

• Communicate effectively both verbally and in writing.

• Perform arithmetic calculations quickly and accurately.

• Establish and maintain cooperative and effective working relationships with others during the course of work.
